Workplace contract new record form

As lease administrator and manager you can use the workplace contract new record form to create new lease contracts.

FieldDescription
NumberSystem generated sequential number.
Contract modelModel the contract is assigned to, which should be Lease.
VendorLandlord responsible for the contract.
Contract NumberUnique number identifying the contract record.
NameName for the contract.
Start dateDate on which the contract takes effect.
End dateDate on which the contract expires.
Lease typeType of lease. The available values are Gross Lease, Modified Gross Lease, Net Lease, Double Net Lease, and Triple Net Lease
Leed certification scoreLeadership in Energy and Environmental Design \(LEED\) level. The available values are Certified, Silver, Gold, and Platinum.
Notice duration \(months\)Notice period to be given to the lessor in case the contract is not extended.
Lease terms \(months\)The contract term in months.
Original lease commencementDate of commencement on the original lease.
Original lease expiration dateDate of expiration on the original lease.
StateCurrent state of the contract. The field values are Draft, Active, Expired, or Canceled.
SubstateCurrent substate of the contract. The field values are Awaiting Review, Under Review, Approved, or Rejected.
Contract AdministratorPerson responsible for managing the contract and interacting with the vendor.
ApproverUser who approves or rejects the contract.
Business OwnerThe user who requested a workplace contract.
Lease classIncome lease or Expense lease. - Select Income lease in the case of subleasing when the organisation receives income. - Select Expense lease in the case of a regular lease when organisation has an expense.
Accounting typeAccounts payable or Accounts receivable. - Select Accounts payable if it is a regular lease where the organisation pays rent. - Select Accounts receivable if the organisation earns rent from the lease contract.
Rent commencement dateThe date when rent commences.
vacate dateThe date when the premises has to be vacated on lease expiration.
Possession dateDate when the leased property can take up possession.
TenantTenant of a contract.
Primary useThe purpose for which the leased premises would be used.
DescriptionBrief description of the contract.
FieldDescription
Rentable areaTotal rentable area of the leased premises.
Unit of measurementUnits of the rentable area and useable area.
Useable areaTotal usable area of the leased premises.
FieldDescription
Payment scheduleSchedule that defines when to make payments, for example, Monthly or Annually.
Payment amountAmount that has been paid on the contract to date.
Total costFinal cost of the contract after adjustments have been applied.
Yearly costYearly cost of the contract.
Vendor accountVendor account associated with the contract.
PO numberPurchase order number assigned to the contract.
Cost centerCost center that is financially responsible for the asset.
Security depositThe returnable sum paid to the lessor to cover for possible loss or damage.
Has rate cardOption to indicate whether the contract has an associated rate card.
FieldDescription
Automatically renew/extendIndicates whether the contract can be renewed or extended at the end of its term.
OptionsDuration of the contract renewal or extension, for example, 1 year.
Renewal start dateDate on which the contract renewal or extension takes effect.
Renewal end dateDate on which the contract renewal or extension ends.
Cost adjustment typeType of cost adjustment applied to the contract. The available values are Fixed, Manual, or CPI \(consumer price index\).
Cost adjustment amount

Numerical increase or decrease in price of contract. A negative number indicates a decrease in price.

You can specify a value for either Cost adjustment or Cost adjustment percentage but not both.

Percentage increase or decrease in price of contract. A negative percentage indicates a decrease in price.
